Job Description:

We are looking for a pleasant and a smart personality for this role, preferably a female candidate, who shall be fluent in English in order to deal with national and international calls and visitors. They shall be responsible for the role listed below in line with COMPANY’s office requirements:

Responsilbilities:

  • Receive, screen and transfer calls from designated telephone switchboard in a courteous and professional manner.
  • Register/log all the Local and International calls and maintain records and submit to office administration on monthly basis.
  • Be responsible to take the Minutes of the Meeting of the Office Admin & project or Non Project.
  • Prepare minutes of meeting and ensure to distribute to concerned participants and as directed by management.
  • Assist in drafting business letters to customers, vendors or collaborators etc.
  • Receive messages on behalf of staff and notify the staff when available.
  • Send email to concerned staff or managers of concerned department when receiving calls of complains or important messages from clients or vendors.
  • Ensure the reception area is presentable and report any issues directly to the supervisor.
  • Ensure cleanliness of reception area and meeting rooms and present all the time at the reception area.
  • Maintaining log book for booking of conference room or meeting rooms.
  • Assist in booking air tickets or travel booking assistance required for office staff, management for business purpose.
  • Ensure that supervisor is informed in case of leave or absence or emergency leave to ensure the reception area is attended by a replacement.
  • Receive visitors and treat them with good communication and attitude skills and request office assistance to direct the visitors to the meeting rooms.
  • To maintain visitor log/register.
  • To update and forward staff telephone Extensions List on monthly basis and send it to supervisor/circulated to departments.
  • To ensure that reception telephone extension is set to auto reply message at end of the working hours.
  • Take over certain responsibilities of Admin Department such assisting Document Control during staff leave or absences.

Preferred Qualifications

  • Candidate shall have degree in Arts, commerce discipline. Any PG diploma / degree in HR and Admin area will be an added advantage.
